Information Collected and Processed

Any personal data we collect from you (that may have originated from our website(s), email communication, letters or telephone conversations) could be used in the following ways:

  • Any agents contracted in the transport of your goods will be provided with your name, address, telephone number(s) and email in order to facilitate the delivery or collection.
  • Your name, address, telephone number(s) and email provided will be entered into and retained within our computerised accounting system in order to produce invoices(s), proof of delivery and credit notes if required.
  • Should you require credit facilities, your name, company name, address, telephone numbers(s) and email may be passed to a credit checking company in order to assess your credit rating.
  • We will only use your name, address, and email address for the purposes of our own marketing if you have explicitly consented, and you may withdraw this consent at any time by contacting us or by a link within an email giving unsubscribe instructions. We do not pass on any data to third party companies for their marketing use.

Requesting Your Data

The Data Protection Act 1998 gives you the right to request access to any personal information we hold relating to you. You may email or write to us requesting a copy of the data, which we will provide within one calendar month. We will acknowledge your request within two working days. If any data is found to be inaccurate this will be rectified. Proof of identity may be required by us depending on the circumstances.

Retaining Your Personal Data

HMRC require by law that Accounts records are kept for 7 years, and your name, address, telephone numbers(s) and email address will be retained in our software and paper invoices/credit note copies for this period.
Our ‘cloud’ accounting software uses industry-standard TLS (Transport Layer Security) to encrypt data during transfer. Data is also encrypted whilst at rest and is stored within enterprise-grade hosting facilities employing robust physical security to prevent physical access to the servers and are monitored 24/7/365 by on-site security personnel. Data we hold on-site is kept securely and only available to authorised individuals.
